Dear the community of the Metropolia University,


The IT Services encourages both the students and the personnel to be vigilant because the university has been the target of the phishing operation. In the name of the Metropolia’s student has been sent several phishing emails of which the IT Services got several information security incidents announcements from the university’s users on Friday morning (the 3rd of November 2023). The IT Services thanks every user who has been on guard regarding the matter, and reported the incidents to the IT Services.

As a reminder, the IT Services, authorities, and banks never ask your bank account information or credentials. Never the IT Services will ask the university’s users change suddenly their passwords. Below, entails the short instruction on how the IT Services wishes the users to act with phishing attempts or scam emails.

  1. Report all phishing messages in the Service Request System of the Metropolia University to the IT Services. You can identify phishing from, for example, the message offers means to get an easy money earning opportunity, the email invokes the need for rush, there is something odd about the sender, the email address, the phone number and the message’s content, as well as the message entails writing errors.
  2. When you receive a phishing email, or a scam mark it as a junk and delete the message permanently.
  3. Never click the links of the phishing email nor respond to its sender.
  4. If you accidentally clicked the link, then immediately change your password through a strong authentication or in the Amme system before reporting the incident for IT Services.
  5. When you inadvertently gave your credit card information, then immediately tell your bank for closing the card.
  6. If you mistakenly gave your bank credentials, contact with your bank’s service number, and ask to close your credentials.
  7. When you non-purposefully paid a suspicious payment, instantly contact to your bank.
  8. If you gave your credit card or bank credentials to cyber criminals, then report to the police.

On 21st August 2023, we announced in OMA that the Helpdesk's confidential answer bank has been leaked to the public.

The extent of the data leak is significant. From the leaked answer bank, it is possible to directly access information that was previously only available by asking the Helpdesk.

You can explore the leaked information on the IT Services' new FAQ page, which is part of the long-standing IT Services website. The address is https://itservices.metropolia.fi/FAQ.

The most significant risks of the data leak are:

  • Immediate access to answers — work and study can continue immediately without waiting for a response from the Helpdesk.
  • Potential reduction in Helpdesk inquiries — in the worst case, Helpdesk will have more time to provide better and faster service to those in need.
  • Most serious risk: People learn Helpdesk trade secrets and are able to solve their IT problems themselves.

Microsoft Office 365 and Google Workspace for Education cloud services have been unavailable for a significant number of new students.

Microsoft Office 365 is once again available for new students, but Google Workspace for Education is not.

The issue is currently being addressed. It is estimated that Google Workspace for Education will be accessible in approximately 1-2 weeks. Unfortunately, a more precise estimate cannot be provided.

Personnel’s mandatory information security training has transferred on Moodle

The objective of Metropolia University is that every member of staff has basic information security skills. Basic level means the level at which a person understands:

  • password security
  • secure data handling
  • protecting against malware and phishing messages

You don’t need to complete the course again if you have passed the course as an approved grade. The previous course records and performances transfer in the new Moodle area automatically. The already started course can be continued in the new Moodle area where you previously left. The training must be completed by the end of this year.

Why is it important to protect yourself?

If you use the internet, you could be a target for cyber criminals. Criminals are trying to steal money, information, your identity or gain access to valuable data. For example, email accounts hijacked by phishing are used both to read messages and to send new phishing messages to other victims. At the end of a data breach, an attacker can steal or encrypt all files, including backups, rendering the attacked device unusable. In the worst case, the compromised device is used to steal data from other devices.

However, you shouldn’t feel discouraged. Developing information security skills is a cooperative effort in which you have the support of everyone else at Metropolia.

Metropolia's telecommunication and server systems will be maintained from Monday 3.7.2023 at 08.00 until Friday 7.7.2023 at 18.00. The maintenance will cause downtime for the entire Metropolia telecommunications and server environment.

The maintenance will result in downtime for most of the IT services provided by Metropolia, including

- campus networks, i.e. wireless and wired network connections on campuses and VPN connections

- financial and human resources management systems

- e-mail

- Skype For Business

- network drives (Z, U, W, T, S, P)

- O365 logins

- Desktop streaming (desktop and securedesktop)

- web services for teaching and projects (including Exam, users, vhost, mysql, mysqlproj, projects servers, wiki.metropolia.fi, www.metropolia.fi, ezproxy.metropolia.fi and elomake.metropolia.fi)

Separately, longer outages already known for the following services:

  • The new version of the Moodle learning environment will be introduced on 4 July 2023. Due to the update, Moodle will be closed on 4 July from 9.00 to 24.00, as previously announced.
  • Update of the OMA environment, 4 July, 13.00 - 16.00.

Helpdesk is selling decommissioned computer packages, computers, and monitors at Myyrmäki campus in the sports hall on the 3rd floor of the C-wing on June 12th-13th, 2023, from 12:00 PM to 6:00 PM.

When all your studies at Metropolia end, your user account will expire two weeks after the completion of your studies. The exception, of course, is if you have obtained a job at Metropolia. In that case, your user account will continue automatically.

The expiration of your user account means that you will no longer be able to use any services that you have logged into with your Metropolia user account. This includes both internal services at Metropolia and cloud services. Additionally, the license for the Microsoft Office 365 desktop application installed through Metropolia will no longer be valid. Office 365 will not work on your computer unless you acquire a new license from elsewhere.


Theseus and study achievements

Although you can still log in to systems with your account for two weeks after the official end date of your study right, the systems will no longer recognize you as a Metropolia student during the additional two-week period. If you want to view, for example, your study achievements after the end of your study right, you will no longer see them in OMA. Instead, you can view them in the nationwide Opintopolku service at https://opintopolku.fi.

It is only possible to submit theses to Theseus while your study right is still valid. After graduation, even with the two-week extension of your account, it is no longer possible in any way because Theseus will no longer recognize you as a Metropolia student.


Saving email messages

Save a copy of the email messages you need, including their attachments. You can do this by forwarding the email messages to another email address or by following these instructions: https://wiki.metropolia.fi/pages/viewpage.action?pageId=139003193.

Registration for personal services with Metropolia email address: It is not advisable to use your Metropolia email address for any services (e.g., LinkedIn, various online stores, and social media) that you intend to use after your graduation as well. However, if you have done so, make sure to check, before your graduation at the latest, to which services you have registered using your Metropolia email address. Change your email address for those services to an address that will never expire. If you have any questions about this, please contact the technical support of the respective service. Changing your email address may be too late after graduation since confirmation messages regarding email address changes often go to the previous email address.


Saving files

Save the files you want to keep as a memory of Metropolia or that you anticipate needing from your Z-drive and cloud services. Remember that it is advisable to keep important files in at least two locations in the future, such as on your computer's hard drive and an external hard drive.


Removing Metropolia accounts from devices

Remove your Metropolia accounts from your mobile phone and tablet account settings. Check if you have accidentally connected your Windows computer to Metropolia, for example, when installing Office 365 software.

-> If you see the Metropolia account, remove it.

Connecting your computer and Metropolia was not intended to be done in the first place. The connection is established if you have checked the box "Allow organization to manage your computer" when installing Office software. Removing the Metropolia account from your computer is important, at the latest, before the expiration of your user account.
