How do I access and complete Metropolia personnel's basic level information security training?

The information in this response applies only to Metropolia employees, not students. The basic information security course for employees is mandatory for Metropolia’s core staff in the autumn semester of 2024. The final deadline to complete the course is December 31, 2024. After this date, your credentials will not work in Metropolia’s information services if you have not completed the course within the given extension period.

The Basic Level Information Security Training is compulsory for the permanent personnel of the Metropolia university. The course must be successfully concluded within the timeframe spanning January 1st to December 31st, 2023.

We strongly encourage all employees to participate in the course. New hires have the opportunity to complete the training during their orientation period. Upon successful completion of the course, you will acquire the necessary skills to effectively utilize the university's IT services. Complete the course with following guideline.  

  1. You will find the university staff’s basic level information security training course on the information security section of OMA (when necessary change the language of OMA intra to see instructions in English). The website guides you to the course area and gives you the enrollment key for signing up the course.
  2. Klick the link that opened on the OMA.
  1. Log in Moodle before pasting the enrolment key with your Metropolia credentials. 
  1. Write the enrolment key on the sign-up place.
  2. Complete four modules with their materials and exams. The course material will open to a new tab that is visible those who has Metropolia credentials. You will need to have the Metropolia user account to be able doing the course, so log-in if necessary to your account.
  3. When you finished the course, you should have had the notification about it to your email. Here is a instruction to active the announcement function of Moodle.
  4. If you didn't receive the notification, then check if you can see four green blocks at the top of Moodle for successful course performance. Four green blocks indicate you passed the course as approved. Besides, you can see your grade report from the Grades tab.
  5. In unclear situations, contact Helpdesk and they will guide you forward.

If you have challenges completing the course or cannot attend the course, please contact the Helpdesk using the contact information below. 

What should be done if the information security course is not completed within the designated timeframe and my user credentials are no longer functional?

The information in this response applies to those Metropolia employees who were supposed to complete the mandatory staff information security course by December 31, 2024. This instruction does not apply to you if you are a part-time teacher, intern, have a fixed-term employment contract, or have not received a separate locking message to complete the course. Those who are not required to complete the information security course will have their user accounts function normally. Follow these instructions if your user accounts are not working due to the information security course. In unclear situations, please contact user support (Helpdesk).

  1. Initiate contact with Helpdesk, either by calling the phone services or sending an email, utilizing your work email if it remains functional. Please refrain from reaching out to the course's teachers, such as Information Security Specialist, in the event of any issues.
  2. Helpdesk will reactivate your user account with an additional two weeks to complete the course. Failure to complete the course within this extended period will result in the deactivation of your credentials once again.
  3. Adhere to the aforementioned instructions to successfully conclude the course.
  4. If you completed the course before your credentials ceased functioning, there is no need to retake the course.
  5. Forward the message received from Moodle, indicating your approved course performance. Optionally, you may provide a screenshot from either the green bar on your Moodle's front page or the Grades tab.
  6. Following the course completion, resume using the university's IT services without any disruptions.

When should the course be completed?

The Bacic Level Information Security Training for the Personnel

All new employees must complete Metropolia’s basic information security course. After completing the course, you will know how to use the university’s information services securely. The course is mandatory for Metropolia’s core staff in the autumn semester of 2024, with a deadline of December 31, 2024.

The course is mandatory for new employees at Metropolia. Metropolia regularly requires its employees to retake the course periodically to ensure that even long-term employees maintain basic information security skills.

Metropolia’s core staff will complete the course as a mandatory requirement in the autumn semester of 2024. The course is compulsory, and failure to complete it by the specified deadline will result in the locking of user accounts. Those who need to complete the course during the extension period in January 2025 will receive this information and instructions via email. 

Who are required to complete the course?

The course must be completed immediately at the beginning of the employment relationship. You can find the course in the orientation package of the personnel services. It is mandatory for every new employee to complete the course at the start of their employment.

In the autumn semester of 2024, the course is mandatory for Metropolia’s full-time employees. The course is not mandatory for Metropolia’s part-time staff, such as part-time teachers and interns.

Metropolia’s goal is for every staff member to have basic information security skills.

At the basic level, this means that the person understands:

  • Basic knowledge of information security and data protection
  • Best practices for information security protection
  • Proper data handling
  • Basic knowledge of information security and cyber security threats

How to activate Moodle’s notification settings?

The notification of Moodle is managed from the software’s settings. When you have enabled notifications, then you should get announcement from Moodle.

1) Go to the preference menu (Picture 1)

2) Select “Notifications Preference” (Picture 2).

3) Activate "Assignment Notifications" in the assignment section by toggling the three green buttons (refer to Picture 3). Confirm that your notifications are not set to disabled by default. Subsequently, you should receive a notification from Moodle upon successful completion of the course.

Can I follow my course progress? How I take a screenshot from my course performance?

It is possible to active “Bloc Drawer” as the functionality of Moodle to follow own course completion.

1) Open the “Block Drawer” function (Picture 4)

2) Follow your course performance by touching or mousing the green bar (Picture 5)

3) Take a screenshot from your course completion when required. 

Where can I check my course grades and take a screenshot from them when is needed? 

The most conveniently, you can proof your course approval by taking the screenshot of your grades.  Below is the guideline for doing it: 

1) Select the Grades tab of your front-page (Picture 6).

2) Take a screenshot from the opening view. Ensure the name of the Grade item is identifiable from the picture. Four Green marks indicate at Grade's column (Picture 7), whether you have successfully completed the course.

3) Forward your screenshot to User Support (Helpdesk). 

Did You Encounter a Problem?

If your user account is locked because you have not completed the course, you can contact Metropolia Helpdesk to have it unlocked. After unlocking, you will have two weeks to complete the course before your account is locked again.

  1. Restart your computer and the device where the issue is occurring. Try the function again.
  2. If the function you are attempting is happening in a web browser, try the function again in an incognito or private window and in a different browser.
  3. Try searching for a solution on the site of the IT Services by using the following search methods:
    1. navigation menu of the site (on the left)
    2. search machine of the wiki (right upper corner)
    3. a general search engine, for instance Google Search
    4. alphabetical index
    5. FAQ

If the problem is not resolved, please contact the helpdesk according to best practices. Always include a full screen screenshot of the issue in your service request.
