How do I make a procurement request?

This response contains information only applicable to Metropolia employees, not students.
What products can I order by submitting a service request?
Always submit a procurement request for any IT-related purchase you need, including stock items.
The following items are available directly from stock for permanent use or temporary loan:
- The following items are available as stock items:
- Webcam
- Wired basic headset
- Wireless mouse
- Available as used items:
- Wired basic keyboards
- Wired basic mice
- DisplayPort cables (not miniDisplayPort)
- Various adapters, such as DVI-DP
- Different cables and adapters
- Conference microphones (only available at the Myllypuro campus)
If you temporarily borrow an item, you do not need to submit a procurement request. This applies, for example, when a laptop or mobile phone is broken.
When borrowing devices or ordering the aforementioned products, please submit a service request at https://hd.metropolia.fi.
The following can be borrowed from libraries with a library card for a 2-week loan period:
- Jabra conference microphones (speaker and microphone combined)
Do I always need to submit a procurement request for new software? What if the software is free?
In principle, for all new software, whether it is free or not, a procurement request must always be submitted. For detailed information on practices and exceptions, refer to the OMA announcement Kaikki ohjelmisto- ja järjestelmähankinnat Tietohallintopalveluiden kautta (in Finnish only). Pay attention to the clarifying comments after the announcement.
Summary of the announcement:
- If you want to implement a new computer program, mobile application, or IT system at Metropolia, fill out the procurement form at https://hankintalomake.metropolia.fi -> Ohjelmistot ja järjestelmät (Software and Systems).
- If the computer program, mobile application, or IT system processes personal data, also review the DPIA (Data Protection Impact Assessment) guidelines in OMA (in Finnish only) and fill out the tool-DPIA form (in Finnish only).
- Based on a decision by Metropolia's executive team, no type of computer program, mobile application, or IT system, even if free, is allowed to be used except as mentioned above.
Do I need to seek approval from my supervisor for the purchase?
Always obtain approval from your supervisor before filling out the procurement request form, unless you have agreed on a different practice.
For all IT-related purchases, a purchase request should be submitted regardless of the funding source or procurement method.
The requester of the goods or services cannot be the approver. Approvers are individuals with authorization to approve within their respective responsibility areas.
How do I submit the purchase request?
Procurement requests are centrally submitted through the form available at https://hankintalomake.metropolia.fi/ (in Finnish only).
For more information on filling out the procurement request form, you can find additional details under "Lisätietoa laitteista ja hankinnoista" on the form.
Regarding the procurement of laptops and mobile phones, IT Services covers the cost of a standardized model for each full-time staff member. Any optional features or upgrades will be charged to the user's cost pool.
