Windows 7 and E-mail progress

Progress info and reminders. Do not use old E-mail system, use mail.metropolia.fi or Outlook.
Currently about 90% of Metropolia Windows machines have been updated to Windows 7. There are some personnel’s laptop computers that have been with them during holiday and thus have not been updated. If your computer has not been updated please contact helpdesk (hd.metropolia.fi).

If your computer has been updated and you notice that some programs or devices are not installed, please list the needed programs and leave a service ticket to helpdesk (hs.metropolia.fi).

Also E-mail accounts have been transferred into new Exchange-system. Both student’s and personnel’s E-mails are now in the same system and all new mails are directed to the new mailbox. Your E-mail address stays the same as before and you can use your E-mail at mail.metropolia.fi. Do not use GoupWise-software anymore because messages sent from GroupWise may not reach recipient.

For personnel: Calendar markings and address books are being moved into the new system in a few days. Notice that also all old markings are being moved and after that the system asks you to dismiss old calendar reminders. Personnel can use (in addition to mail.metropolia.fi) Outlook 2010 software which can be found on your desktop. Archived mails will be converted after calendar-markings have been moved to new system (concerns only personnel that have used GroupWise archive-option).

Those who had both Groupwise and Horde accounts - mailboxes have been combined so that Groupwise-mails are in ”groupwise” -folder and Horde mails are in ”unixmail” -folder depending on which mailbox has been the primary mailbox.

Trainings for new office / Windows 7 will continue on August, find dates from Tuubi -> HR -> Henkilöstökoulutukset.

Clarification for previous announcement. Please. move your personal and work files into your personal network-drive (Z-drive) before 25.6. In addition all network-drives except Z-drive will be unusable 22.6. because they will be moved to the new system on that day.
Move your own work- and personal files into home directory (Z-drive) before 25.6.
Move all your own work- and personal files (such as Word and Excel-documents) into your personal network-drive “Z-drive” before 25.6. This needs to be done whether you have laptop or workstation computer. You need to move files that are stored in your hard drive like C- or D -drive or in your Windows-desktop.

If your network-drive is full, you can ask more space through Metropolia helpdesk (hd.metropolia.fi).

All network-drives except Z- and S-drives will be unusable on 22.6. because they will be moved under the new system. You can access all network-drives again on 23.6.  Windows XP machines may ask username and password after this date but Windows 7 machines should access these drives directly.

IT-Services

IT-Services will upgrade all Metropolia workstations into Windows 7 (64-bit) during the summer. We urge all personnel to move personal documents and files into network-drive (Z-drive). We also ask you to leave you laptop on your desk for the summer leave and to clean up your mailbox. In this announcements we also give more info about the changes in the mailing system (Exchange 2010).

1. About schedules
E-mail
All e-mails (personnel and students) are being transferred into new e-mail system in the end of July 2010. The transfer will be implemented in consequent weekends (students/personnel) in order to keep system breaks as short as possible.

We are using IT-services as a pilot-group and we’ll move their e-mails to the new system already on 12-13.6. Piloting is used to ensure that the full transfer will go as smoothly as possible in the end of July. From piloting we expect to learn more about how much time the transfer is going to take and it helps us to better prepare for possible surprises. Final transferring dates of personnel’s and student’s e-mails will be decided after the piloting.

Windows 7 and Office 2010
Windows 7 and Office installations for personnel’s computers will be started simultaneously in all Metropolia facilities (week 26 - last week of June). Installations for personnel’s computers should be completed during July.

Installations for class-rooms will begin on week 27 starting from Tukholmankatu. After this installations will be continued simultaneously in all Metropolia facilities. There will be some class-rooms (e.g. laboratories) where Windows 7 installation cannot be done yet due to incompatibility issues but also in this case Office will be updated.

Class-rooms will have same programs as before if no-one does not make requests for changes before 25.6.

2.  What is being moved automatically and what is not?
Data (mails, files) that will be moved automatically:
•    Network-drives and files in there (e.g. S, T, U and Z -drives) will be moved automatically along with the Windows 7 change.
•    E-mails (from Groupwise) that will be moved automatically:
o    All e-mails that are in your inbox/mailbox
o    All folders and e-mails, that are under Groupwise ”Cabinet”-folder, in addition e.g. sent-folder will be moved automatically.
o    Personal address book (from Groupwise)
o    Calendar
o    Archived e-mails if they are in Z-drive. Guide to check the archive location can be found at: http://tietohallinto.metropolia.fi/pages/viewpage.action?pageId=17531315 Note: you don’t need to archive e-mails at this point, above comment is only for those users that have used archiving already.

Data that will NOT be moved automatically
•    Files and folders that are in your local computer, normally C- and D-drive
•    Files and folders that are in Windows desktop
•    Web-browser bookmarks

3. What I have to do?
Move your own work- and personal files into home directory (Z-drive)
You do not have to copy/move e-mails.
Move all your own work- and personal files (such as Word and Excel-documents) into your personal network-drive “Z-drive”. This needs to be done whether you have laptop or workstation computer. You need to move files that are stored in your hard drive like C- or D -drive or in your Windows-desktop.

Save you bookmarks
Bookmarks from your web-browser will not be saved automatically so you need to save then for further use. You don’t need to do this if you think that you can find all important web-addresses later on even without saving them.

You can either write down necessary bookmarks to paper, or you can copy-paste addresses for example into an e-mail and send it to your own e-mail. OR you can export bookmark-file and save it to Z-drive and later import the same file to new web-browser.

How to save booksmarks

Click Bookmarks -> Organize bookmarks -> Import and backup -> choose Export HTML -> choose Z-drive and folder where you can find this file later when importing to new browser -> Click Save.

Explorer 6: Click File -> Import/Export -> Next -> Click Export Favorites -> Next -> Next -> choose Export to a File or Address and click Browse -> choose Z-drive and folder where you can find this file later when importing to new browser (save with different filename than previously with Firefox) -> click Finish.

Clean your Groupwise/Horde mailbox
Cleaning mailbox means that you delete unnecessary e-mails from your mailbox and thus make the transfer easier and faster.  It is recommended that you clean your mailbox.

Programs (personal)
IT-services will install the same programs that it has previously installed into the new system. If something is missing contact helpdesk. If you have a good reason why your computer should not be updated, leave a clear message on the computer and also inform helpdesk about this.

If you have installed some programs of your own, you’ll have to do it again after Windows 7 upgrade is done.

Leave your laptop on your desk when you start your holiday
Leave your laptop on your desk when you start your holiday. If for some reason you need your laptop during your holiday, give a message for the helpdesk (hd.metropolia.fi) and agree on the date when your laptop will be upgraded. It is best to agree 1 week when you can leave your laptop on you desk so helpdesk can make the upgrade.

4.  Basic information about new e-mail system
Metropolia personnell’s Novell Groupwise and student’s Horde will be replaced with Microsoft Exchange 2010 mailing system.

The primary client-programs for Exchange 2010 are Microsoft Outlook (included in Office 2010) and Outlook web-access (mail.metropolia.fi). It is also possible to use other email-clients. Features in the new system are quite similar to Groupwise. Personnel can have a short introduction for the new system in the Office 2010 trainings.

During the transition period you can always use web-based e-mail clients e.g.
•    If your computer has been upgraded to Win 7 and Office 2010 but you e-mails are still in the old system you can use webwise.metropoli.fi (personnel) or webmail.metropolia.fi (students).
•    If your e-mail is in the new system but you still have old Windows you can use mail.metropolia.fi
